Booking, Cancellation & Refund Policy

These Terms & Policies apply to all bookings, inquiries, reservations, sports tours, event packages, and travel experiences organized or facilitated by SportsGPT Europe (“SportsGPT”, “we”, “our”, or “us”).

By booking, participating in, or using any services provided by SportsGPT Europe, the traveler (“guest”, “participant”, “client”, or “you”) acknowledges and agrees to the following Terms & Conditions.

Booking Confirmation

A booking shall be considered confirmed only after:

  • Submission of all required personal and travel information
  • Acceptance of these Terms & Conditions
  • Payment of the applicable deposit or full package amount

SportsGPT reserves the right to reject, refuse, or cancel any booking prior to confirmation without assigning any reason.

Deposit Policy

To reserve a place on a trip, sports experience, or event package, SportsGPT may require a non-refundable deposit of 10% of the total package value or such other amount as communicated at the time of booking.

The deposit secures the guest’s participation and covers administrative, reservation, operational, and supplier-related costs.

Unless otherwise confirmed in writing:

  • Deposits are strictly non-refundable
  • Remaining balances must be paid within the communicated timeline
  • Failure to complete payment may result in automatic cancellation of the reservation

Payment Terms

Each trip, package, or sports experience may have a separate payment schedule and payment deadline.

If payment is not received by the specified due date:

  • SportsGPT may cancel the booking without prior notice
  • The reserved slot may be released to another participant
  • Deposits and previously paid amounts may be forfeited

SportsGPT reserves the right to revise package pricing in the event of:

  • Hotel or accommodation price revisions
  • Government taxes or surcharges
  • Currency fluctuations
  • Sporting event ticket changes
  • Transportation or operational cost increases

Cancellation by Guest

All cancellation requests must be submitted in writing through email. Cancellation shall become effective only after written acknowledgment by SportsGPT.

Unless otherwise specified for a particular trip or package:

SportsGPT reserves the right to deduct:

  • Banking charges
  • Payment gateway fees
  • Supplier cancellation penalties
  • Processing and documentation charges

Non-Refundable Situations

Refunds shall not be provided in situations including but not limited to:

  • Missed flights, trains, or transportation
  • Visa rejection or delayed visa processing
  • Failure to provide valid travel documentation
  • Failure to join the trip on time
  • Personal emergencies
  • Medical conditions preventing travel
  • Unused services during the trip
  • Early departure from the tour or event
  • Sporting event changes beyond SportsGPT’s control

Travel Insurance

SportsGPT does not provide any travel insurance, medical insurance, accident insurance, airline tickets, visa assistance, or immigration support services unless specifically confirmed in writing.

Guests are solely responsible for:

  • Booking and managing their own flights
  • Obtaining valid travel insurance
  • Medical and emergency coverage
  • Passport validity
  • Visa applications and approvals
  • Travel documentation and immigration compliance

Guests are strongly advised to obtain comprehensive travel insurance covering: medical emergencies, trip cancellation or interruption, flight disruptions, loss of baggage or belongings, sports-related activities, emergency evacuation, and illness, injury, disability, disease, or accidental death.

SportsGPT shall not be liable for:

  • Airline delays, cancellations, denied boarding, missed flights, or baggage loss
  • Visa rejection, delayed visa processing, denied entry, or immigration issues
  • Insurance claim rejections or disputes
  • Trip cancellations or interruptions
  • Death, illness, disease, injury, accidents, or medical emergencies
  • Financial, personal, or consequential losses arising during or after travel

Passport, Visa & Entry Requirements

Guests are solely responsible for:

  • Maintaining valid passports
  • Obtaining visas and entry permits
  • Immigration compliance
  • Vaccination or health-related requirements
  • All travel documentation required by authorities

SportsGPT does not provide visa assistance, embassy coordination, or immigration services.

SportsGPT shall not be liable for: visa refusals or delays, embassy processing issues, denied boarding, denied entry, immigration issues, or incomplete, incorrect, or expired documentation.

Itinerary & Service Changes

SportsGPT reserves the right to make reasonable changes to: hotels or accommodations, sports venues or courts, transportation providers, schedules and itineraries, and activities or experiences.

Equivalent alternatives may be provided whenever reasonably possible. Changes may occur due to operational requirements, supplier limitations, safety concerns, weather conditions, or sporting event modifications.

Cancellation by SportsGPT

SportsGPT reserves the right to cancel or modify any trip due to: operational difficulties, insufficient participation, supplier-related issues, government restrictions, safety concerns, force majeure situations, or sporting event cancellations or postponements.

Where reasonably possible, guests may be offered:

  • A partial or full refund subject to supplier recoveries, OR
  • Transfer to another available trip or package

SportsGPT shall not be responsible for independent guest expenses including: flight bookings, visa fees, insurance premiums, currency exchange losses, or personal travel arrangements.

Force Majeure

SportsGPT shall not be liable for delays, losses, disruptions, or cancellations caused by events beyond reasonable control including: natural disasters, war or political unrest, pandemics or epidemics, government actions or restrictions, airline disruptions, strikes or labor disputes, severe weather conditions, or sporting authority decisions.

Guest Conduct

Guests are expected to behave respectfully and comply with: local laws and regulations, venue policies, hotel rules, and instructions provided by SportsGPT representatives.

SportsGPT reserves the right to remove any participant involved in: illegal activities, violence or abusive conduct, harassment, unsafe behavior, or serious disruption to the group experience. No refunds shall be provided in such cases.

Liability Limitation

SportsGPT acts solely as an organizer and intermediary for services provided by independent third-party suppliers including hotels, transport providers, sporting event organizers, venues, and ticketing agencies.

SportsGPT shall not be liable or responsible for:

  • Trip cancellations, delays, or interruptions
  • Flight-related issues including missed connections or baggage loss
  • Death, illness, disease, injury, accidents, or medical emergencies
  • Insurance-related disputes or claims
  • Visa rejection or denied entry
  • Supplier failures or third-party actions
  • Sporting event schedule changes or venue modifications
  • Force majeure events
  • Indirect, incidental, financial, or consequential losses

Participation in sports activities and travel experiences is entirely at the guest’s own risk.

Refund Processing

Approved refunds may require approximately 14–30 business days for processing.

Refunds shall generally be processed through the original payment method where possible. Banking charges, processing fees, and currency conversion deductions may apply.

Privacy Policy

SportsGPT respects the privacy of all guests and users. Personal information collected through bookings, emails, or inquiry forms may include: name, contact details, nationality, passport details, travel preferences, and emergency contact information.

This information may be used for: booking management, customer support, travel coordination, supplier arrangements, and trip-related communication.

SportsGPT does not intentionally sell personal information to third parties.

Website Inquiry / Reservation Form

Guests may contact SportsGPT through direct email communication, or via online inquiry or reservation forms available on the website.

Submission of an inquiry form does not automatically confirm a booking or reservation.

Governing Law

These Terms & Policies shall be governed and interpreted in accordance with the applicable laws of Hungary.

Any disputes arising under these Terms shall be subject to the jurisdiction of the competent courts of Hungary.
